Prepare
As a coordinator, to prepare proposals with a high success rate, you need to focus on the substantive knowledge of the research field. Using Author-e can significantly reduce the time spent on organisational activities.
You set up the structure of the project proposal by creating the work packages and milestones, and plan the work by defining assignments, with deadlines.
Collaborate and Monitor
You invite your colleague project members to contribute to the proposal. They start working immediately on the proposal documents and can see what colleagues have written: peer review improves quality. The finances required to realise the work (person-months x tariff) are estimated. This can be done at work package or task level. Project members only have access to the financial data of their own organisation.
Each time texts or financial data are saved, the latest version is immediately available. Author-e eliminates the noticeable drawbacks of file-based editing such as e-mailing versions or using a check-in/check-out mechanism as applied in Document Management Systems. There is no need to exchange e-mails. In this way the progress of the scientific and the financial sections can be easily monitored. Flexible dashboard reports show detailed and aggregated budgets.
Finalise: EC portal
Final modifications can be made as the deadline approaches. Earlier versions can be restored if required. As the deadline draws nearer, the project office locks the editing rights of participating authors: now only the project office can modify the texts. After the scientific texts and budgets have been approved, all texts and tables are merged with a single click in Word and converted to a PDF.
The participants are entered in the portal in the same order as in the technical annex. The overall budget is entered based on the amounts in the technical annex. The technical annex can be uploaded as a PDF.
